Life & Work Events

Certain life and work changes will affect your pay, your benefits, or both. Address and federal tax withholding changes can be submitted directly by you through employee self-service. Notify your department administrator of any other changes to ensure they are reported to the Payroll Department, the Benefits Department, or both. Please select a Life or Work Event below for helpful information to guide you through the process.

Change in Marital Status
  • For a legal name change, contact the Social Security Administration for a new social security card with your new name. Once you receive this card, show your Department Administrator so your department is aware of your name change. Upload your new SSN card to our secure upload site and we will update your name in Pitt Worx within two weeks after you submit your card.
  • This is considered a qualified status change. Please visit the HR Benefit Department for additional benefit information or you may submit an inquiry.
  • You may want to change your federal income tax withholding by updating your Form W-4, Withholding and Allowance Certificate. Changes to Forms W-4 are made through employee self-service.
  • Students also need to notify the Office of the Registrar to update their student accounts.
Birth & Adoption
  • This is considered a qualified status change. Please visit the HR Benefit Department for additional benefit information or you may submit an inquiry.
  • You may want to change your federal income tax withholding by updating your Form W-4, Withholding and Allowance Certificate. Changes to Forms W-4 are made through employee self-service.

This does not affect Predoctoral Fellows & Training Grant Recipients

Move and Change of Address
  • If you move, use employee self-service to update your address of record for both mailing and tax purposes.
  • Payroll Department contact information available on the contact us page.
Social Security Numbers and Names
  • For a legal name change, contact the Social Security Administration for a new social security card with your new name.   • Individuals receiving their first or updated social security number/name after they have completed their onboarding process must provide their SSN card to the Payroll Dept.

Retirement

Retirement status only applies to Faculty, Staff, and Postdoctoral & Research Associate Employees.

Notify your Department Administrator as soon as you know the date of your retirement. For information on retirement, visit the HR Benefits website.

Leaves of Absence

Leaves of absences only apply to Faculty, Staff, and Postdoctoral & Research Associate Employees.

Please visit the HR Benefits website on Medical Leave for information regarding employee leaves of absence.

Pay Frequency Changes for Staff

Staff that transfer from part-time to full-time change their pay frequency from biweekly to monthly. Another result of this pay frequency change is deductions that occurred according to the biweekly pay schedule are moved to the monthly schedule.

Conversely, staff that transfer from full-time to part-time change their pay frequency from monthly to biweekly. As a result of this pay frequency change, deductions that occurred monthly switch to a schedule that assigns them according to the biweekly schedule.

Termination for Staff

If you are a former/terminated staff member, you are eligible for vacation and sick time payouts. Visit the former employee page for more information on how to obtain these payouts.
