The Payroll Department is providing the following reminders to ensure you have valuable information, dates, and resources to assist you in performing payroll related responsibilities for your RC or Department for Fall 2024:

Employee Overpayments

We have been receiving a high number of reversals and overpayments recently. Overpayments, which require a complex reversal process, occur when terminations or transfers are not entered by published deadlines, and when department administrators do not review their preview payroll registers on a timely basis. If an employee is not terminated in the system, they may continue to receive pay until the termination is entered. It is important to note that recovering overpayments is a time consuming and costly process for the University.

2025 Pay Schedules and University Holidays

Dear Payroll Partners,

The pay schedules and the university holiday schedule for 2025 are now available on the payroll website. The 2026 New Year's holiday (1/1/2026) and the last day of the Winter recess (1/2/2026) have been posted as well because they affect the 2025 Winter recess.

New Payroll Website Now Available!

We are pleased to announce that the Payroll website has transitioned to a new and upgraded look! The new Payroll website will still host the same helpful content and resources but will allow for easier website navigation.

Form W-2 and Form 1042-S Information

Forms W-2 will be available online to those that opted in for the electronic version no later than January 31, 2024. A notification will be posted on the Payroll Department website and HR Client Services inquiry page once Forms W-2 are available.

2024 Local Services Tax Exemption Information

The Local Services Tax exemption forms expire at the end of each calendar year. University employees who submitted an exemption form for 2023 and meet the criteria again in 2024 will need to submit information to claim exemption in 2024. Local Services Tax exemption information is submitted through Single Sign On through Employee Self-Service in Pitt Worx, by selecting Me > Address and Tax Form Changes.

During the University’s Winter Recess of December 22, 2023 through January 1, 2024, all inquiries including retry, QuickPay, or other payroll requests need to be submitted via a payroll inquiry through our inquiry system.

A Payroll Representative will be monitoring our inquiry system each recess day for urgent requests from 10am – 1pm.

Electronic and Mobile Form W-2 Access

Announcements

Employees can enroll now through December 31, 2023, to receive their electronic 2023 Form W-2 online quickly and easily in January as soon as it becomes available.

If you previously opted in, no further action is needed for 2023. If you didn’t sign up previously, but you have already received at least one pay in 2023 and have a permanent SSN, you can sign up now. Please review the following important information about enrolling:

Electronic Form W-2 Opt-in

As we have previously shared, employees have the option to receive Forms W-2 (IRS Wage and Tax Statement) electronically. Review the full announcement, including information about the advantages of receiving an electronic Form W-2.
